
Starting your journey in Service Learning (SL)?
Don't worry! Here is a step-by-step guide to help you along the way!! --->

Step 1 - Form your Group!
Form a group comprising of 3-5 students to be in your Organising Team (OT). Each student should be assigned a role depending on the nature of your SL project (e.g. Group Leader, Publicity, External Communications, Internal Communications, Logistics).

Step 2 - Attend SL Workshop!
At least 1 OT member must attend SL Workshop conducted by VIA Council (VIAC). It is highly encouraged for the whole group to attend (exact dates will be posted on Nurture/Instagram/ Telegram).

Step 3 - Finding your Mentor!
Find your own Teacher Mentor
- You can approach any teacher to be your mentor and they will decide if they are available to mentor your team. It is encouraged to engage your subject teacher as a teacher mentor so that he/she can have a more comprehensive understanding of you outside of the subject. This may be helpful in subsequent testimonial or reference writing.
Find VIAC as your Student Mentor

Make a copy of the Proposal Template. Fill in the Service Learning Form to submit your proposal link and request for a VIAC student mentor.

After receiving a confirmation email of your attached VIAC student mentor, initiate discussions with your student mentor via Google Chat.

Step 4 - Work on Proposal!

Before embarking on the project, your group should have contacted your beneficiary to conduct Needs Analysis. This will help your group to come up with more relevant ideas to cater to their demands.

If the organisation already has existing programmes, think how to value-add.

If your project is passed down from your seniors, you still need to write a new proposal to be approved by VIAC. You must not directly copy your proposal from the previous batch and should make well-thought. improvements to the proposal for approval. Any activity carried out before (even the ones already approved for your seniors) the proposal is approved will not be recognised and endorsed for VIA hours.

Step 5 - Submit your Proposal!
If you are Teacher Mentored:

Submit your proposal drafts to your Teacher-Mentor. He / She will work with your team, and provide comments on the proposals. After the vetting by the Teacher-Mentor, your group can submit the proposal to Service Learning Form to be vetted by VIAC, who will after then help you submit your proposal to the VIA Unit to be approved.
If you are Student Mentored under VIAC:

Send your proposal draft to your attached Student Mentor via Google Chat. He / She will work with your team, provide comments on the proposals, and also act as your group's liaison with the VIA Unit.

Step 6 - High Risk RAMS Document (only applicable for SL Project with High Risk Activities)
This is only required in SL projects when there are activities classified as “High Risks”, that is when the Risk Matrix Score > 12 or severity level ≥ 3].

Should your activities pose any safety risks to volunteers or your beneficiary, do consult your Student-Mentor and Teacher-Mentor to identify the steps to reduce the risks.

Once your activity has been approved by them, complete the High Risk RAMS document.

Step 7 - ISP Approval

The team leader is to initiate the project on ISP.

To upload to ISP: Student Services > VIA & Service Learning > My VIA Activities > Initiate New Activity.

Upload the approved SL proposal in PDF, the signed consent forms of OT members consolidated into 1 PDF and High Risk RAMS Document (if applicable).

Your project will be approved by the VIA Unit. This will be reflected by the ISP status: Approved.

The team leader can now add the OT members’ names on ISP to get approved on ISP.

ISP > VIA and Service Learning > My VIA Activities > My Approved Activities > scroll to the bottom > Add Students to VIA Activity > Add > Search > Add > Role > Organising Team Member > Add students.

After approval, your team can now start executing the project!

Step 8 - Seed Fund Application
1. SL Projects must be APPROVED on ISP first before applying.
2. To apply, fill in the application form found on the website.
3. Email the application form to VIAC and CC Ms Phang and your Teacher mentor(if have)/Attached VIA Unit Teacher.
4. Upon receiving approval from VIAC, the SL then can start spending. Record purchases in monthly accounts sheet (found on website).
5. By the end of the month that the purchase was made in, SL needs to submit physical (receipts/printed invoices) claims to Ms Phang’s pigeon hole AND email digital claims (monthly accounts) to VIAC.
